Driver App Privacy Policy

This policy covers the Skylight Driver app, the workplace app used by Skylight Bus Lines Pty Ltd bus drivers and supervisors. It is separate from our website privacy policy, which covers quotes, bookings and enquiries.

The app is issued to staff as part of their work. There is no public sign-up — an account can only be created by Skylight Bus Lines Pty Ltd.

Who is responsible for your information

Skylight Bus Lines Pty Ltd (ABN 14 260 073 430) is responsible for the personal information the app collects. It is the operator you work for, the records are its safety and employment records, and it is who to contact about access, correction or a complaint.

The app is published on the App Store and Google Play by KVC Technology Pty Ltd, the software developer that builds and runs it for Skylight Bus Lines Pty Ltd. That is the name shown on both store listings. KVC Technology Pty Ltd handles this information only to build and operate the app on Skylight Bus Lines Pty Ltd’s behalf, under its instructions.

What the app collects

  • Who you are — your driver or supervisor code, name and depot, and your mobile number, which is verified once by SMS when you set up your PIN.
  • Your location — only between sign-on and sign-off, including while the app is closed. See below.
  • Photographs you take or attach when reporting a vehicle defect or an incident.
  • The work you record — sign-on and sign-off times, the vehicle, odometer readings, fuel entries, pre-trip inspections, defect and incident reports, your fit-for-duty declaration, and student attendance marks on school runs.
  • Messages you send to and receive from dispatch, and read receipts.
  • A push-notification token, so dispatch can reach you.
  • Crash information if the app fails. These reports are automatically stripped of names, phone numbers, addresses, coordinates and credentials before they are sent.

Location tracking

Your location is recorded only between sign-on and sign-off, and this is enforced by our server, which refuses any position sent outside a shift you actually signed on to. It does not depend on the app behaving correctly.

Recording continues while the app is closed or in the background during a shift, which is why the app asks for background location permission, and why Android shows an ongoing notification the whole time it is running. Positions captured with no signal are held on the phone and sent when coverage returns, so a position may arrive later than it was recorded — it is still treated as having happened when it was recorded.

It is used to calculate driving time accurately for fatigue compliance under the Heavy Vehicle National Law and for pay, to show the live position of the bus during a school run, and to help understand what happened after an incident. It is not used to score your driving.

Your location is not recorded before sign-on or after sign-off — not on the way to work, not on a break once you have signed off, not at home and not at the weekend.

This is explained inside the app in a notice you are asked to read and accept at first launch, before any location permission is requested.

What the app does not do

  • No advertising, no marketing analytics, and no sale of personal information.
  • No access to your contacts, messages or files beyond the photographs you choose to attach.
  • No profiling, and no automated decisions made about you.

Who we share it with

  • Skylight Bus Lines Pty Ltd dispatch, operations, compliance and management staff, as their role requires.
  • Schools — authorised staff at a school can see the live position of the bus on their own run, and the attendance for that run, while it is running. They do not see your other records.
  • Our service providers, who operate the system on our behalf under contract: application and database hosting, and the SMS, email and push notification providers.
  • Regulators, police and insurers where the law requires or permits it — for example heavy-vehicle fatigue and maintenance records, or an incident investigation.

We do not disclose your personal information to anyone else without your consent unless we are required or authorised to do so by law.

Where it is held

Information travels over encrypted connections (HTTPS) to Skylight Bus Lines Pty Ltd’s operations system, which is hosted by our infrastructure provider (Railway) in Singapore. Your personal information is therefore stored outside Australia.

We take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles, including by contract with that provider. Under Australian privacy law we remain accountable for your personal information wherever it is held.

On your phone, your session is held in the device’s encrypted secure storage. Cached work information and anything waiting to be sent are held in app storage and are cleared when you sign out — which is why signing off matters on a shared depot phone.

How long we keep it

Safety and compliance records are kept for as long as the law requires and for as long as they may be needed for an investigation, claim or audit. Employment records are kept in line with our normal employment record-keeping. Information held on your phone is transient and is cleared at sign-out.

Your rights

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Children

The app is used by Skylight Bus Lines Pty Ltd staff, not by children. It records student attendance on school runs — a student’s name, year group and any access needs relevant to boarding the bus safely. That information is provided by the school under our contract with them, is visible to a driver only for a run they are driving, and is not kept on the device after sign-out. Enquiries about a student’s information should go to the school in the first instance.

Changes to this policy

We will publish any change here. Where a change is significant, staff are asked to read and accept the updated notice in the app before continuing to use it.
